- your address or postcode;
- details about the products or services you are interested in, such as kitchens, wardrobes, media walls, worktops, appliances or installation services;

Please do not include unnecessary sensitive personal information in website enquiry forms or general correspondence.
3. How we obtain your information
We usually obtain personal information directly from you when you complete a website form, request a brochure or quotation, contact us by email or telephone, visit our showroom, book a consultation, or purchase goods or services. We may also receive information from a person acting on your behalf or from a professional involved in your project, where appropriate.
4. Why we use your information and our lawful bases
We only use personal information where we have a lawful basis. The table below explains the main purposes and bases that are likely to apply.
| Purpose | Information used | Lawful basis |
|---|---|---|
| To respond to enquiries, provide requested information, arrange showroom visits or consultations, and prepare designs or quotations. | Contact details, project requirements, preferences, budget and messages. | Steps at your request before entering into a contract; and legitimate interests in responding to and managing enquiries where appropriate. |
| To process and fulfil an order, take payment, arrange delivery or installation, and provide aftercare. | Contact, order, delivery, installation, payment and communication records. | Performance of a contract. |
| To maintain financial, tax, warranty and business records, and respond to legal claims or regulatory requests. | Transaction, contract, payment and communication records. | Legal obligation and, where applicable, legitimate interests in protecting our business and legal rights. |
| To operate, secure and improve our website and services. | Technical, security, usage and enquiry information. | Legitimate interests in operating a secure and effective website; consent where required for non-essential cookies. |
| To send direct marketing where permitted. | Name, contact details, marketing preferences and relevant purchase or enquiry history. | Consent, or the limited soft opt-in where all legal conditions are met. You can opt out at any time. |
5. Direct marketing
Submitting an enquiry does not automatically subscribe you to general marketing. We will send promotional emails or text messages only where permitted by law, for example where you have consented or where the limited soft opt-in applies and all its conditions are met. Marketing messages will identify us and provide a simple way to opt out. You may unsubscribe at any time by using the link in a marketing email or by contacting us.
We may keep a minimal suppression record of an opt-out so that we can respect your preference and avoid contacting you again for direct marketing.
6. Who we share personal information with
We may share personal information only where necessary with trusted service providers and professional advisers, including:
- our website hosting, website form and email service providers;
- customer relationship, appointment, file storage and business administration providers, if used;
- payment processors, banks and finance providers where relevant to your purchase or application;
- manufacturers, suppliers, delivery companies, installers and other contractors involved in providing the products or services you request;
- accountants, insurers, legal advisers and other professional advisers; and
- government bodies, regulators, courts, law enforcement or other parties where disclosure is required by law or necessary to establish, exercise or defend legal claims.
We do not sell personal information. Service providers acting on our behalf are expected to use personal information only for the agreed service and to protect it appropriately.
7. International transfers
Some service providers may store or access personal information outside the United Kingdom. Where this happens, we will use an appropriate UK data protection safeguard or rely on another lawful transfer mechanism, as required. You may contact us for further information about the safeguards relevant to your information.
8. How long we keep personal information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including applicable legal, accounting, warranty and reporting requirements. Our normal approach is:
- Enquiries that do not become customers: retained for up to 12 months after the last meaningful contact, unless there is a documented legal or business reason to retain the information for longer.
- Active enquiries, designs and quotations: while the project remains active and for a reasonable follow-up period afterwards.
- Customer, order, contract, invoice, payment, delivery, installation and warranty records: for the period needed to provide the service and meet legal, accounting, warranty, dispute and record-keeping requirements.
- Marketing records: until you withdraw consent, opt out, or the information is no longer needed for the marketing purpose. A minimal suppression record may be retained to honour an opt-out.
- Website security logs and technical records: for the period reasonably required for security, troubleshooting and fraud prevention.
At the end of the applicable period, information will be securely deleted or anonymised. We review retention periods and may retain information for longer where required by law or where necessary for a current or anticipated legal claim.
9. Cookies and similar technologies
Our website may use strictly necessary technologies to operate securely and remember choices such as cookie preferences. We will not place non-essential analytics or advertising cookies unless they are introduced and any consent required by law has been obtained. Please see our Cookie Notice for the current details of the technologies used and how to manage your choices.
10. Keeping your information secure
We use appropriate organisational and technical measures designed to protect personal information against accidental or unlawful loss, misuse, alteration, unauthorised access or disclosure. Access is limited to people and service providers who need the information for legitimate business purposes.
11. Your data protection rights
Depending on the circumstances, you may have the right to:
- ask for access to the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to erase your information;
- ask us to restrict how we use your information;
- object to processing based on legitimate interests and object at any time to direct marketing;
- ask for certain information to be transferred to you or another organisation; and
- withdraw consent at any time where we rely on consent. Withdrawal does not affect processing carried out before consent was withdrawn.
These rights are subject to legal conditions and exemptions. We may need to verify your identity before responding. To exercise a right, contact us using the details in section 1.
12. Automated decision-making
We do not currently use website enquiry information to make decisions about you solely by automated means that produce legal or similarly significant effects. If this changes, we will update this notice and provide the information and safeguards required by law.
13. Complaints
If you have concerns about how we use your personal information, please contact us on info@modenhaus.co.uk so that we can investigate and respond.
14. Changes to this notice
We may update this notice when our services, suppliers or legal obligations change. The latest version will be published on our website with the updated date shown at the top.
